• Performs clerical administrative duties such as written reports (Bill of Materials and Budgetary Cost Estimates, etc.), Technical Specifications and letter of request; Compile complete sets of plan, contract agreement and other related documents and other financial reports, etc.
• Prepares and distribute office forms (such as Daily Time Record, Accountability Form, Purchased Order Form, Job Order,Updated Billing Statement, Operational Expenses (Daily, Weekly,Monthly & Yearly), and other related forms, for proper handling, monitoring and fast & easy access to accounts and financial updates.
• Improve the operational systems, processes and policies.
• Conducts Pre- Interview to applicants and schedule for final/ panel interview with the company heads.
• Experienced in purchasing and inventory control (inventory of incoming and outgoing construction materials, tools and equipment including office related supplies);
• Conducts Orientation & Training to the newly hired construction workers/ employees, discuss company profile, policies of the company, “do & don’ts,” and other related company information.
• Updates cost of materials, tools and equipment with the suppliers (for Canvass or for Purchase)
• Prepares purchase order per project including company expenses as well as disbursement of check (Post Dated Check/s) or cash payments.
• Arrange schedule of payments and deliveries to the suppliers per project
• Monitor and check deliveries of requested/purchased construction materials at the project site
• Follow up purchased order with suppliers and also proposal with clients
• Prompt action for material requests to avoid delays
• Issuance of tools and equipment to accountable construction workers and project manager
• Coordinate with the Architect & Engineer, as well as project manager or leadman regarding the status of materials, update of work activities and manpower at the project site
• Deals with the construction employees concerns and requests (cash advances) for evaluation and approval, discussed with them their work performances, behavior and attitude towards co-employees for assessment.
• Responsible in the preparation and distribution of weekly payroll of admin personnel and construction workers per project site
• Prepares, submits and follow up project accomplishment reports for progress billing and letter of request for payments
• Keeping projects on time as scheduled
• Handling client queries, issues and concerns such as project collection or payments, additional and/or changes of designs, back jobs and etc.;
• Arrange schedule of meetings with the Architect and Engineers (if needed);
• Responsible on managing company’s budget in coordination with the Executive Architect.
• Awareness of the health and safety regulations of all individuals
• Ability to perform well in leadership, decision making and human resource management
• Supervise the Office Personnel (Auto CADD Operators) and On the Job Training
• Plays as a Team Leader on Company Activities
• Responsible and prepares company’s Monthly Value Added Tax and Annual Income Tax Return at Bureau of Internal Revenue.
