Responsibilities:
1. Issuing notices, coordinating in preparation of the working papers for the agenda items, drafting minutes of the following
meetings:

• BOT Meeting
• Syndicate
• Purchase Committee
• Recruitment Committee &
• Others Meeting

 Date Fix up & Agenda confirmation in Consultation with the Vice Chancellor/Registrar
 Notification
 Refreshment & others
 Follow up in Implementation of decision of all meetings.
 Find out the decision of various committees as required by the authority.

2. Assisting the Registrar in following up the action and implementation of the decisions of the above meeting and reporting back the outcomes of the actions to him. Other duties as and when assigned by the Registrar.

3. Reports & letters to UGC
• Correspondence with regular letter;
• Filled in different data form as per UGC Requirement;
• Different report preparation for UGC;
• Send Proposals for new programs to UGC.

4. Daily Duties
• Attend different employees face to face or over telephone on different issues;
• Attendance management;
• Perform daily others activities as required urgently;
• Advertisement for recruitment;
• CV shorting;
• Call for interview for recruitment;
• Perform outdoor official work;
• Coordination & secretarial works related to the estates, permanent campus and preserving relevant documents for future reference;
• Coordination with the Legal Advisors in dealing with the Legal issues of the University;
• Acting as a coordinator between the members of the BOT and the University Management;
• Coordination and cooperation in arranging all corporate events of the University;
• Issue Show Cause Letter (if necessary);
• Liaising with Deans, different faculty members and concerned office executives to solve the problems related to the office accommodation and class rooms;
• Collection of periodic (semester wise) requirements of furniture and stationeries, assessing actual needs and processing procurement in consultation with Registrar;
• Managing all the events of HUB within and/or outside the campus;
• Reading and screening incoming correspondences and reports; making preliminary assessment of the importance of materials and organizes documents; forward appropriate materials to the Vice Chancellor/Registrar.
• Any other job assigned by the higher authority (HUB).

5. Notification & Miscellaneous Letters
• Holiday Notices
• Special Programs etc.

Maintain the personal file of the employee, draft the official letter addressing to the concerned, issue various kinds of notices, leave management, promotion management etc. Preparing meeting agenda, Regulation & job descriptions.


Invite the yearly requirement from the individuals, make summarize the requirements and place in the meeting, after approval invite the tender from the suppliers, from the quotation make a comparative study and submit to the authority, provide work order to the selected supplier, make stock entry for each of the product, receive the requisition and provide accordingly to the concerned.
