Job Description:
OVERALL ROLES AND RESPONSIBILITIES:
- Supervise the day to day operation of the FM department to meet standards and requirements as per contractual agreement
- To Understand contractual obligations and meet customer expectations under the agreement
- Ensure facility preserves high-level maintenance and appearance
- Adhere to occupational health and safety and injury management
- Disciplinary procedures conducted in line with the company policy
Major Responsibilities
Soft Services
- Supervise Service Desk Officers, mailroom, Housekeeping and sub-contractors (catering)
- Facilitate room reservation requests
- Maintain key assignment register and facilitate requests for key issuance
- Manage car park register and ensure that all are updated and properly coordinated with the client and the building management
- Maintain procurement inventory of supplies and other related records
Hard Services
- Assist the Facilities Engineer in coordinating with and supervise vendors and contractors for projects
- Conduct regular inspection of the premises and ensure to report findings and/or unusual observation to the service desk / FM
- Monitor work order requests, complaints and maintenance deficiencies reported and ensure that these are completed and closed on time.
- Maintain records of all work order requests, complaints and maintenance deficiencies
Administrative
- Assist the Facilities Manager and act as deputy in his/her absence.
- Function as document controller of the department
- Consolidate personnel time sheet and ensure that these are submitted to HR on time
- Participate in drills initiated by the client / building administration
- Perform other function as may be deemed necessary by the Fm
